How to Submit Donations (Graphic)
As a best practice, all event donations should be received by Alpha Phi Foundation within 30 days of the philanthropy event. Save and follow this quick How to Submit Donations graphic to learn how to submit donations of all kinds.
Online Chapter Donation Form
Making a donation on behalf of a collegiate chapter is quick, safe, and convenient when you use the Chapter Event Donation Form. Share it with your event audiences and encourage them to make an online gift before, during or after your event. All donations are 100% tax-deductible. After your donors make a gift, they will receive a thank you email and gift receipt from Alpha Phi Foundation.

Donation Cover Sheet
Please mail cash and check donations with a completed Donation Cover Sheet for each individual philanthropy event you host.
Nonprofit Status Letter
For individuals and companies who request information about Alpha Phi Foundation, like the mission, contact information, EIN/Tax ID or W-9, we encourage you to share this Nonprofit Status Letter with them.
In-Kind Gift Receipt
An in-kind donation, also referred to as gift in kind, is a donation of goods and services rather than cash. Please provide the document below to all individuals and companies donating non-cash items. Chapters are responsible for writing gift receipts and sending acknowledgements to in-kind donors.
Charitable Auction Tax Receipts
All of your donors should receive thank you letters and receipts after your event. When your donors make a direct donation to Alpha Phi Foundation, they will receive acknowledgments from the Foundation. However, when your donors make a donation through a charitable auction, chapters are responsible for distributing tax receipts accordingly. Event Budget Template
This resource is designed to help keep track of your budget, in-kind donations, and sponsorships, if applicable. As you enter anticipated and actual expenses, the sheet will automatically calculate in the first tab.

Not using GiveSmart? Use the event timeline template to help organize your event-planning and keep you on task! Remember to make it your own and tailor it to fit your chapter event!
Community Contributions Program
Alpha Phi Foundation’s Community Contributions Program allows Alpha Phi chapters to request that a portion of their event proceeds go directly toward a program or cause that is especially meaningful to them. Please review Community Contribution Program policies and terms of agreement before completing the Community Contribution request form.
To order donation envelopes and pens, please complete the online order form below. If you would prefer, you may also mail in a Donation Envelope & Pen Order Form with a check or money order enclosed.
Red Dress Pins
Each year collegiate chapters are eligible to receive 100 complimentary Red Dress Pins from the Foundation. Wear your pins and give them to attendees to help spread awareness of your philanthropic efforts.
You may want to include an Alpha Phi Foundation logo on your event signage or perhaps you are interested in using the five program icons to help educate your chapter on the Foundation’s programs.
Instagram Story Takeover Guide
These “takeovers” are a great way to organically reach new followers and show off your chapter’s philanthropic efforts! Submit your events to the Foundation calendar at least 3 weeks prior to your event date and opt-in for an Instagram Story Takeover!
